Responsibilities of the Arrangements Team Leader

The Arrangements Team has significant responsibilities for the preparation and facility setup for the overall Impact World Tour as well as for each specific performance. It is essential to communicate frequently with the IWT Coordinator to ensure readiness for each event. Please note that each event has different requirements for equipment, materials, and setup.
  • Familiarize yourself with the responsibilities of the team and draw up a timeline and deadlines for preparation
  • Build the team. It is of an advantage to have team members who work in carpentry, construction, and other industries
  • Appoint 2 Captains: Facility Captain, and Materials Captain
  • Assign members of the team to the two Captains according to interest
  • Create and implement the risk assessment
  • Facility Captain Responsibilities
  • Set up for various pre-tour events.
  • Assist the IWT Coordinator with the setup of additional rooms such as team locker rooms, the meals area, and the counting room.
  • Make appropriate arrangements for an interpreter for the Hearing Impaired and disabled seating areas.
  • Form a facility crew and a stage crew.
  • Make necessary signs for various rooms throughout the venue
  • Set-up the stage and auditorium according to specs and directions from team leaders
  • Recruit a crew for setup and clean up each night.

Procedure

Step One:
Familiarize yourself with all of the responsibilities of this team, drawing up a timeline for events and deadlines for preparation.

Appoint Two Captains:
Step Three:
You might want to appoint several more positions, including:
  • Loans Coordinators
  • Delivery Coordinators
  • Secretary to send out minutes
Step Four:
Build the team, encouraging members to bring interested or qualified people from their church and other churches. It is very helpful to have people working in the fields of carpentry, construction, and other such industries. Also people involved in businesses who supply some of the materials can help by donation of materials.

Step Five:
Oversee the gathering of materials and preparations for the venue.
