Reception Captain
Please note: These job descriptions were composed for medium to large sized outreaches with Impact World Tour. For smaller events not all positions or simplified procedures might be required, please apply common sense in determining the needs for your community
Responsibilities of Reception Captain
- Make sure reception and crowd flow ushers/stewards are in place
- Position ushers/stewards and direct crowds accordingly
- Keep people moving, handing out proper material...
The Reception Captain is responsible to make sure reception and crowd flow ushers/stewards are in place.
Prior to the Event
- Obtain a map of the venue from the Arrangements Team Leader with check-in areas, entrances, etc. marked.
- Decide where to put reception ushers/stewards to guide people into the venue, keep people out of blocked areas, etc.
- Assign reception ushers/stewards to each entrance to the building. These ushers/stewards will be responsible to keep a count of the number of people that enter the venue (clickers are helpful).
- Obtain a list of people that signed up to be reception ushers/stewards . Call them to determine which nights they are available and assign them to each of the needed positions.
- Give your assignments to the Assignment Captain to be put on the map for check-in.
- Have the reception ushers/stewards attend the Usher/Stewards Training scheduled the night before the event by the Assignment Captain. Give them their assignments at this time and any special instructions.
Each Night of the Event
- All reception ushers/stewards should check in 90 minutes prior to the event. At check in they will receive a nametag.
- All ushers/stewards should attend the briefing 60 minutes prior to the event.
- Reception ushers/stewards should be in place 45 minutes prior to the event in preparation for the doors to be opened.
- Reception ushers/stewards should greet people with a warm smile and direct them to open sections.
- Ushers/Stewards at the entrances should let the IWT Coordinator know when attendance reaches 50% and 75%. Instructions will be given to shut the doors if attendance begins to reach maximum capacity.
- Keep people moving to maintain clear passageways.
- Some Ushers/Stewards should check toilets once in a while and deal with any problems
- Pass out flyers, programs, etc. as instructed. Note - the IWT Coordinator must approve all distributed materials.
