Materials Captain
Please note: These job descriptions were composed for medium to large sized outreaches with Impact World Tour. For smaller events not all positions or simplified procedures might be required, please apply common sense in determining the needs for your community.
Responsibilities of the Materials Captain
The role of the Materials Captain is to cover the physical arrangements of the conversation area and to ensure availability of Local Links materials. They are also responsible to collect, distribute and keep inventory of all Local Links material during the Campaign week.
- Oversee recruitment of Materials Team members for the Campaign nights
- Ensure physical arrangements of the Local Link area and Local Link materials (Bibles, response forms, and tracts)
- Oversee the set up and running of the Local Link sign-in tables on Campaign nights
- Collect, distribute and keep inventory of all materials during Campaign Week
Prior to the Campaign
- Recruit Materials Team – about 10 people to assist before, during and after each evening (submit names to local Impact World Tour Office well in advance)
- Schedule time to pick up Local Links materials from Impact World Tour Office
- Visit auditorium site with Impact World Tour Coordinator or Arrangements team to determine entrance locations, places for storage of materials, locations for tables etc.
- Have necessary signs and containers (for collection of response forms and unused materials) prepared
- Organize 2 large tables with the Arrangements Teams for Local Links materials (1 either side of the stage) and at least two tables for Local Link Check-in.
- Take inventory of all materials
Containers Required
- Unused Local Links materials - need several boxes for this
- Materials Team Roaming Boxes – make several boxes with Bibles, extra response forms, response form collection envelopes and pens that the team can use to help Local Links needing materials
- Response Form Collection Envelopes – prepare several of these: one for each Materials Roaming Box, and for each Materials Table.

- Alphabetical Break-down for Check-in tables
- Signs or Labels on the Response form Collection Envelopes
Don’t Forget
On the Campaign Nights
- Set up Conversation Area in accordance with directions of the Coordinator.
- Set up tables for check-in and materials - have nametags and markers available for each event - this should be ready 1¾ hours before the event begins. Once the Materials Tables are prepared – please make sure they are hidden from view or covered with fabric or moved out of the way.
- Have 4 people staff each check-in as Local Links arrive. For check-in, they should have an alphabetical list of the trained Local Links (obtain from Local Link Captain) and may want to break Check-in into sections for speed and convenience. (i.e. A-F, G-L, M-R, S-Z).
Materials team members should check off the Local Links as they arrive and then giving them materials. NAME TAGS & MATERIALS SHOULD ONLY BE GIVEN TO THOSE PEOPLE WHOSE NAMES ARE ON THE LIST AND HAVE BEEN TRAINED AND APPROVED. (No exceptions – please send anyone objecting to this to the Discipleship Chairperson or the IWT staff person leading the briefing – do not give him or her any materials or name tag.)

- Tract
- Response Forms
- Nametag
- Referral List of Discipleship Groups
- Any additional materials such as follow-up event flyers (must be IWT approved)
After the Altar Call
- Materials team members should respond with the first wave of the altar call, and take their positions at the materials tables. However, remember not to distract the Inquirers while the evangelist is still speaking.
- Make sure everyone has sufficient materials as Inquirers are being met by the Local Links. Send team members out into the conversation area with prepared boxes of spare materials to quickly assist Local Links needing help. Hand out additional BIBLES IN EXCHANGE FOR COMPLETED RESPONSE FORMS.
- Staff exit tables to collect response forms and unused materials - let Local Links know they can pick up fresh materials next time they come. As response forms are turned in, check them for neatness and completeness.
- Distribute copies of response forms to Data Entry and Statistics teams.
- Check materials and replace missing items. After all materials are returned, take inventory.
- Make sure conversation area is left neat and tidy - ready for the next evening
After the Campaign
- Take inventory of remaining materials
- Return unused materials to Discipleship Chairperson
